Automatic privacy policy for websites

The avalex serviceenables the automated creation and updating of a legally compliant privacy policy.

Introduction

Every commercially used website must have an imprint and a privacy policy. Failure to comply with this obligation can result in warnings and official fines.

A legally compliant privacy policy must contain certain formulations and must always be kept up to date.

We have discovered a service that makes it very easy to create and continuously update a privacy policy. We also use this service on our website at jweiland.net/datenschutz.html .

After entering the domain, the website is automatically checked for externally used services (Google Analytics, Matomo/Piwik, Facebook Pixel, Google Fonts) and these are listed. For each service found, a traffic light indicates whether this service can be used in compliance with data protection regulations:

Green: the service can be used

Yellow: there is not yet enough information from the provider as to whether this service is compliant with data protection regulations

Red: the service cannot be used in compliance with data protection regulations

You then answer a series of questions (who is the operator of the website, data protection officer, is a newsletter sent, what data is requested in contact forms, etc.).

This data is used to create an individual privacy policy, which is integrated into the website via a TYPO3 plugin.

The avalex extension loads the text of the privacy policy from the avalex server and saves it in the database. The plugin is used to integrate this text into the website. A scheduler task updates the text in the database every 6 hours (default setting, individually adjustable). After all, current case law may mean that formulations need to be adapted from time to time. By storing the text in the TYPO3 database, the privacy policy is always available, even if the avalex service should fail.

If you add a new service to your website, the configuration of the avalex service can be easily adapted. The new version will be online after 6 hours at the latest.

TYPO3 Extension "avalex"

After the first test of the avalex extension we had a few change requests, which were implemented within a short time. However, we were informed that the previous developer of the extension no longer had enough time to provide support and further development.

jweiland.net has therefore agreed to take over the extension and provide support for it. The current version of the extension in the TYPO3 Extension Repository (TER) supports TYPO3 versions 6.2 to 10.4.

We have also developed an Avalex extension for TYPO3 versions 4.3 to 6.1. Since the TER no longer supports extensions for older TYPO3 versions, we offer the files for download here:

Avalex Extension for TYPO3 6.2 to 10.4 (ZIP)

Avalex Extension for TYPO3 4.3 to 6.1 (ZIP)

Avalex Extension for TYPO3 4.3 to 6.1 (T3X)

Installation and configuration of the extension

If you want to use the privacy policy as a company, you must first sign a contract with avalex is required.

The avalex service is available in two versions. The regular service costs 119 euros per year (plus VAT, 141.61 euros incl. VAT).

An extended version also covers online stores and costs 169 euros per year (plus VAT, 201.11 euros incl. VAT).

The service is therefore significantly cheaper than an hour's consultation with a lawyer. The contract is tied to the respective domain, but any number of domains can be managed in one account.

After installing the extension, a configuration record is created in which the hash value supplied by the provider must be entered. In addition, a scheduler task must be created in order to renew the privacy policy cyclically.
