Email addresses in cloud hosting
Email mailboxes and forwarding are managed in the customer menu (Plesk).
In our cloud hosting plans, the available storage space is not permanently divided between websites, email inboxes and backups. If only a small amount of storage is required for websites, more storage is available for email inboxes. If necessary, you can expand the storage space as required and at low cost. An individual e-mail inbox can be as large as you like within the limits of your storage space, and a maximum size can also be set if required.
Create e-mail inbox
Click on Email in the menu. Here you can now create a new e-mail inbox via "+ Create e-mail address".
Enter the name of your e-mail address and select the domain. Generate a password and display it (please save it in a password manager such as 1Password or KeePassXC).
With the option "Can be used to log in to Plesk", the mailbox user can configure his mailbox himself.
The "External email address" option is not a redirect, but is used to request a new password if a password is forgotten. Forwardings are created under the "Forwarding" tab.
The mailboxes are created with the size "unlimited" by default. However, you can also limit the mailbox size here, as in Classic Hosting, if a mailbox user should not be able to utilize the entire storage space.
Create multiple e-mail inboxes
In the domain settings under Domain: Email, you will find the bulk mail import function, which can be used to automatically create email mailboxes using a .csv file. New passwords are automatically generated for the mailboxes created.
You can request a .csv file from us, for example, if you need to move many email addresses from Classic to Cloud Hosting.
If you are still with another provider, ask them whether it is possible to export your mailboxes, forwarders and aliases to a .csv file.
E-mail settings for the domain
For virtual domains or domains registered via us, where a separate mail server (MX record on external mail server) is used, the checkbox "Activate email service on this domain" must be removed.
The option "Procedure for emails to non-existent users" can be used to specify how the system should react to emails sent to non-existent email addresses.
If the e-mail mailboxes are to be accessed via webmail, make sure that Roundcube is activated for webmail.
Once the Let's Encrypt certificates have been set up for the domains used, this is stored under "SSL/TLS certificate for webmail" and "SSL/TLS certificate for e-mail".
For improved spam protection when sending emails, you should also activate DKIM spam protection.
Mail traffic via us, website with third-party provider
If your website is hosted on another provider's server, special measures are required for the domain.
- The website must be configured at the external provider so that it can be accessed via www.domainname.tld.
- The A and AAAA record for the domain "domainname.tld" must point to our server.
- A .htaccess 301 redirect to www.domainname.tld must be set up.
- Have a Let's Encrypt SSL certificate issued only for the domain "domainname.tld", e-mail traffic and webmail. NOT for "www.domainname.tld"!
This ensures that the e-mail mailboxes can be set up correctly in the e-mail programs and also work. Continue with setting up the mailboxes in e-mail programs.
Sending limits when sending e-mails
To ensure that no SPAM is sent via our mail servers or that they are blacklisted, there are limits for sending emails. Once a limit has been reached, no further emails can be sent from this email address, domain or hosting package in the current hour.
Emails that are sent beyond these limits are not stored temporarily or delivered with a delay, but are discarded.
The following limits apply to the sending of e-mails:

You can check in your customer menu whether a shipping limit has been reached:
- Log in to your customer menu (Plesk).
- In the overview you will find the menu item "Outgoing mail control" in the right-hand column.
Here you will find an overview of the hosting package's sending limits.
In the various tabs you will find further information on which email addresses or domains have currently exceeded the limit, as well as how many emails have been sent from the hosting package in the last hour.
In general, care should be taken to ensure that not too many emails are sent to the same provider (e.g. gmx or t-online) within a short period of time, as their mail servers register the receipt of emails and can then block the email if the number is too high.
Special feature for newsletters
If you want to send newsletters, you should make sure that the limit for the mailbox is not exceeded per hour.

Webmailer (manage emails in a browser app)
A webmailer is available for working with e-mails without installing an e-mail program on your computer.
You can access the webmailer via your domain:
webmail.name-your-domain.tld
We recommend using an e-mail program (Thunderbird, Outlook, Apple Mail, etc.), as these usually offer more convenience and options (e.g. calendar), and to consider our webmailer as an additional tool for emergencies if your own e-mail program is not available.
How can a mailbox owner edit their mailbox settings?
The administrator of the package has the option of authorizing the mailbox owners to edit the mailbox settings themselves. These settings include
- Storing an "external e-mail address" to reset the password.
- Change password.
- Maximum number of emails that can be sent per hour.
- E-mail forwarding and whether a copy of the forwarded e-mails should be saved in the mailbox.
- Configure autoresponder.
To do this, the option "Can be used to log in to Plesk" must be activated in the mailbox settings.
The administrator then provides the mailbox owner with the URL for the Plesk login page so that the mailbox owner can log in with the e-mail address and the corresponding password.
Mail traffic via us with virtual domain or own name servers
If you would like to use our mail servers but have registered your domain with another provider and use their name servers or have stored your own name servers with us, some adjustments to the DNS are necessary. Replace DOMAINNAME.TLD with your domain name and SERVERNAME with the name of the server that we gave you in our confirmation after setting up the package. You can also find it in the URL of your customer menu (Plesk).
You must first create the domain in your plan as a virtual domain so that you can create the mailboxes in the customer menu (Plesk).
You also need a wildcard SSL certificate for your domain, which you must set up for the domain in your customer menu. You can find instructions on how to do this in our instructions under Set up your own SSL certificate. If you do not yet have your own wildcard SSL certificate for your domain, you can also order one from us. You can find out how to do this under Order a paid SSL certificate.
After integration, you must then select it and assign it to the domain using the "Protect webmail" and "Protect email" buttons so that your email traffic and webmailer are secured via SSL.

The entry serves as an example. Please check whether you are still sending emails via other services or servers. You may only need to add include:SERVERNAME.jweiland.cloud to your existing SPF record. There must not be several SPF records for one domain.

The server settings are queried below. In this example, we are setting up an IMAP account.
The host name for incoming emails and outgoing emails is always your domain name. In this example, name-of-domain.com.
The data under Server for outgoing emails is not filled in. Please enter the server, your e-mail address and the password.
The settings will then be checked. This may take several minutes. Please be patient.
In the server settings for outgoing emails, manually adjust the server port to 465. Then click on Done in the top right-hand corner. The iPhone / iPad will check the settings again. This may take some time again. Please be patient.
The e-mail address setup is now complete and you can use your mailbox in your Mail app.
You must now adjust the server settings for "Incoming e-mail" and "Outgoing e-mail".
Please change the servers as follows:
